Privacy Policy
This page explains what information Kinbi keeps, why we keep it, who can see it, and how you can get a copy or delete it.
In short: we keep what you enter so the app works. We don't sell it, we don't show ads, and we don't use it to train AI. You can download your pets' care history and delete your account whenever you like.
1. Who we are
Kinbi helps pet owners keep their pets' routines, health notes and emergency contacts in one place, and share them with a pet sitter for as long as they choose. The sitter can check off each task as they go. Kinbi is run by a small team and is currently in beta.
Questions or requests: support@kinbi.co.
2. What we keep
About you
- Your name, email address, and phone number if you add one.
- Your password, stored in a scrambled form that nobody at Kinbi can read.
- Your time zone, so reminders happen at the right time for you.
- Whether you're a pet parent, pet sitter or business, and when you agreed to our Terms.
- If you're a pet sitter: anything you add to your profile, like a photo, a short bio and the area you work in. Pet parents you work with can see it.
About your pets
- Their name, species, breed, age, weight and photo.
- Allergies, habits and notes you write for whoever is looking after them.
- Meal, walk, activity and medication routines.
- Your vet's details and an emergency contact.
- Vet visits and any documents you upload, like vaccination records.
- Supplies you list for them, like their usual food, with any shop links you add. Only you see these, plus a pet sitter you share them with for a stay (not for drop-in visits). Kinbi never opens the links.
The care log
- Which tasks were done, when, and by whom.
- Notes and photos the sitter adds.
- When a visit started and ended.
- An approximate location at those moments, if the sitter allows it (see section 4).
- A record of changes, so the log can't be quietly edited later.
About other people you add
When you add your vet, an emergency contact, a co-owner, a pet sitter, or (for businesses) your clients and staff, we keep the names and contact details you give us. We only use them to make Kinbi work, for example to show a sitter who to call, or to send an invitation you asked us to send. Please only add people who'd be comfortable with that. Anyone can ask us to remove their details by emailing us.
Pricing updates
If you ask to hear about pricing, we keep your email address and which plan you were interested in, only to contact you about it. Ask us and we'll delete it.
Basic website records
Like most websites, our servers keep short-term records of visits (such as your IP address and the time) to keep Kinbi running and to stop abuse, like someone trying to guess passwords. Kinbi doesn't use cookies, analytics, tracking or advertising tools. Staying signed in is handled by your own browser. If you check “Don’t ask for a code on this device”, your browser also keeps a random token that lets that device skip the sign-in code (never the password) for 30 days; you can cancel it any time under Account.
3. How we use it
Only to run Kinbi: showing your pets' routines, sharing them with the sitters you choose, keeping the care log, sending the reminders you've turned on, and keeping your account secure.
We never:
- sell your information or share it for advertising;
- show ads, or let anyone else show them;
- use your information, your pets' records or your photos to train AI;
- build a profile of you or make automated decisions about you.
4. Location
Kinbi can record the approximate location of a sitter's phone at three moments only: when they start a visit, when they end it, and when they check off a task. It never tracks anyone in the background or while the app is closed.
- It only happens if the sitter leaves "include location" switched on and their phone allows it.
- A sitter can switch it off and still log everything as normal.
- Only the pet's owner sees it, next to that entry, and in their own download of the care log.
5. Photos and documents
Photos and documents are stored privately, not on a public website, and the links to them stop working after a short time. They can be seen by the pet's owner and by the sitters the owner has shared that pet with, so please don't upload anything you wouldn't want them to see.
6. Companies that help us run Kinbi
A few companies provide services Kinbi runs on, and may only use your information to provide them to us:
- Microsoft Azure and Neon: hosting, file storage and our database.
- Resend and Twilio: emails, and sign-in codes by text if you choose that.
- Stripe: payments for paid plans. Kinbi never sees your card.
- Google and Microsoft: only if you sign in with them. We get your name and email, never your password.
- Have I Been Pwned: checks whether a new password has appeared in a data breach, without ever receiving the password.
- Google Fonts: the app's lettering. Google can see your IP address when the app loads.
We don't share your information with anyone else unless the law requires it or someone's safety is at risk. If Kinbi is ever sold or merged, your information would move with it, and we'd tell you first.
7. What other Kinbi users can see
- A pet sitter you share with sees that pet's details, routine, care log and photos, only for the dates, times and tasks you chose.
- You see everything logged for your own pets, including who did it and, if recorded, where.
- A pet care business sees the pets its clients have shared with it, and the visits its staff have done.
- A second pet parent you invite (a partner or family member, on their own account) sees and can update that pet's details, routine, health, documents, supplies and care log, and can share the pet with pet sitters. They see your home access notes only if you turn that on for them, and every view is logged and you're told. You can remove them at any time.
- You can end any sharing at any time, and it also ends on its own on the date you set.
Kinbi staff can look up account facts to help you and to understand how Kinbi is used: when you signed up, your account type and plan, how you sign in, and counts such as how many pets (and what kinds and breeds) or sitters you have. They can't see your notes, home access details, medications, documents, photos or locations, and every lookup is logged.
8. How long we keep it
- Your pets' records and care history: for as long as you have an account.
- When you delete your account: right away (see section 9).
- Password-reset and sign-in codes: they expire within minutes or hours.
- Ended or cancelled sharing: kept in your records, so you can see who had access and when.
- Website records: only as long as our hosting provider keeps them.
9. Your choices
Delete your account
Go to Your account → Delete account at any time. Your account, pets, records, documents, photos and sharing links are deleted right away. There's no waiting period and it can't be undone. More detail, including what to do if you can't sign in, is on our delete your account page.
One thing stays: if you looked after someone else's pet, the tasks you logged stay in that owner's history, because it's their record of their pet's care. Your account is gone and is no longer linked to them.
Get a copy
You can download a pet's care log and all of its documents from inside the app. For a copy of anything else, email us.
Fix something
Almost everything can be edited in the app. If something can't, email us.
Choose which messages you get
Your account → Alerts lets you choose which reminders you get. Account emails, like sign-in codes and password resets, can't be turned off while you have an account, because they keep it secure.
Your rights
Depending on where you live, you may have the right to see, correct, delete or move your information, or to complain to a privacy regulator. Email support@kinbi.co and we'll handle it within 30 days, free of charge.
10. Keeping it safe
- Everything sent between you and Kinbi is encrypted.
- Nobody at Kinbi can see your password.
- Every sharing link needs a code, and we limit how many times a wrong code can be tried.
- Photos and documents can only be opened through private links that expire.
No website can promise perfect security, but we take it seriously. If you spot a problem, please email support@kinbi.co.
11. Children
You must be 18 or older to create a Kinbi account. A sharing link doesn't need an account, so if you share with someone under 18, like a neighbor's teenager who walks your dog, please get their parent's or guardian's OK first. If you think a child has given us information, email us and we'll delete it.
12. Where your information is stored
Kinbi and the companies we use store information in the United States. If you use Kinbi from another country, your information will be stored there.
13. Changes to this policy
If we update this policy, we'll change the date at the top. If a change affects what we keep or who can see it, we'll tell you in the app or by email before it takes effect.
14. Contact us
